The quality of your guest experience is our top priority. Your health and wellbeing are at the heart of what we do.
Our aim is to provide a memorable, enjoyable guest stay. We want you to enjoy our Retreat, come back and visit, and recommend us to your friends and colleagues.
Please read this Policy and Booking Terms & Conditions carefully.
We understand that if you have made a booking with Cape Byron Retreat, you have read and agree to these Booking Terms & Conditions. References to “us”, “we” and/or “our” in this Booking Terms & Conditions shall mean Cape Byron Retreat.
These Booking Terms & Conditions apply to all bookings that you make with us by phone, via email, in-person, through any website or online booking portal.
We assume that the person making the booking is authorised to act on behalf of any other traveller on the booking, and that person will bind all such travellers to these Terms and Conditions.
Payment Policy
A condition of making a booking at Cape Byron Retreat is that you provide a valid credit card at time of booking.
All rates are inclusive of GST and quoted in AUD.
All card transactions are in AUD. We accept Visa and MasterCard. A 1.5% surcharge applies.
The total tariff will be charged 30 days PRIOR to your arrival date.
For all non-refundable bookings (see below): the credit card payment is deducted within 24 hours of the date the reservation was made. These bookings are non-refundable and non-transferable.
If you are booking the entire venue, you will be informed of all pricing and Terms and Conditions via email.
Cape Byron Retreat cannot be held responsible for any foreign exchange fluctuations or international transaction fees imposed by any credit card merchant.
Your credit card details are collected for security and any incidentals costs, and we reserve the right to charge your credit card for these.
Cape Byron Retreat Changes and Cancellations
Standard Cancellation Policy
Subject to your refund and remedy rights under the Australian Consumer Law, the following change and cancellation fees apply to all bookings.
We define a standard cancellation as a cancellation made to a confirmed booking for any reason, other than a COVID-19 lockdown .
More Than 30 Days Prior
If you make a cancellation more than 30 days prior to your scheduled arrival, your credit card payment for the room charge will not have been deducted (excluding non-refundable bookings). Therefore, there is no refund to be processed. However, there could be a booking fee deducted from your credit card if you booked through a website where booking fees are charged.
Between 30 and 15 Days Prior
Booking cancellations for confirmed bookings made between 30 days and 15 days prior to the scheduled arrival date will incur a 50% cancellation fee (plus any booking fees charged).
Any changes to booking dates for confirmed bookings made between 30 days and 15 days prior to the scheduled arrival date will incur a 20% amendment fee (plus any booking fees charged).
All Peak period bookings are non-refundable and non-transferable inside the 30-day period before check-in date.
**Peak periods are defined as follows:
Splendour in the Grass: Thursday 20 – Sunday 23 July 2023
Queen’s Birthday weekend: Friday 09 – Monday 12 June 2023
Labour Day weekend: Friday 29 September – Monday 02 October 2023
Christmas/New Year: Monday 18 December 2023 – Sunday 07 January 2024
Easter: Thursday 28 March – Tuesday 02 April 2024
Anzac Day weekend: Wednesday 24 – Saturday 27 April 2024
The refund of accommodation charges will be made via the original payment method to you as fast as practicable (depending upon on the speed of bank processing of funds), upon Cape Byron’s receipt of your written notification of booking cancellation or amendments of dates.
14 Days or Less Prior
Booking cancellations or any changes to booking dates of confirmed bookings made within 14 days of your scheduled arrival date will incur a 100% amendment/cancellation fee.
Non-refundable Rates
All non-refundable rates indicated in these Booking Terms & Conditions are non-refundable and non-transferable.
Travel Insurance
We strongly recommend that you take out appropriate travel insurance to cover your travel arrangement. The insurance protection should include cover for cancellation fees, lost deposits, medical and repatriation expenses, personal injury and accident, luggage and personal effects, personal liability, travel delay and alternative transport expenses.
Covid-19 Policy
Cape Byron Retreat has a Covid Plan that is up-to-date and enforced. We adhere to the requirements under the current Public Health Order for NSW, whilst ever this Covid Plan is in place.
The changes in today’s Covid-impacted world have impacted our operations. Additionally, government regulations and industry body recommendations have necessitated the need to modify and update our facilities and services from time to time.
Whatever the changes our world experiences, our commitment here at Cape Byron Retreat to provide you with a high-quality guest experience remains unwavering. Wherever possible, we will ensure you have a ‘contactless’ experience during your stay with us.
We ask that you review the information below, so you are aware of how your stay may be affected. We also recommend that you review the current New South Wales Restrictions and Public Health Orders. These Public Health orders change regularly and change at short notice.
You need to be aware of the health information that is current both at the time of booking and the time of your stay. This is your responsibility.
Arrival
Any guest coming from a government indicated hotspot area will not be permitted to stay at Cape Byron Retreat, as the guest should be staying in their LGA, as per government mandates listed here.
Covid-19 Booking Cancellations
We understand that COVID-19 lockdowns are determined by governments and health authorities, are currently enforced with minimal notice and, as such, are outside of your control.
Our standard cancellation policy will apply for all Covid-19 related reasons other than if there is a government mandated interstate or intrastate travel restriction, or lockdown.
Should a government mandated interstate or intrastate travel restriction, or lockdown be enforced that prevents you from travelling on your booked dates, we will provide the following options: (please note that these options do not apply in the event of individual illness including COVID19 or if you become a close contact. Our standard cancellation policy will apply in this scenario).
For Bookings Made Directly with Cape Byron Retreat
- New booking dates: you can change your booking to a future date that is within 12 months from the original date of arrival with no penalty (i.e. if you were due to check in on 1 October 2021, you must reschedule your booking to a date before 1 October 2022).
- Uncertain travel dates: if you do not have a future date in mind, we will hold the amount paid as a credit to be used within 12 months.
- Credits: We will hold your paid accommodation fee in the form of a monetary credit value. This means that you have this credit amount to be used inside the valid date range, subject to room availability. There could be room rate variances, depending upon seasonality. The monetary credit value is to be used within 12 months from the original check-in date. It cannot be extended, transferred or refunded.
- Rebooking: Please note that we cannot guarantee that we will provide the same room as your original booking. Whilst we do our best to accommodate your request, room allocation and room charges are dependent on existing bookings and seasonality. Should you wish to move your booking to a peak-period, or another booking date, there could be an additional charge made to cover the rate variance.
For Bookings Made with Third Party Online Travel Agents
Any amendments of bookings that were originally made through a third-party online travel agent (i.e. booking.com, Expedia and Agoda etc) will incur an amendment fee equal to the fee payable to the booking agent. The booking fee is deducted from the amount already paid. We will give you a credit minus this booking fee.
Non-refundable Rates
All non-refundable rates indicated in these Booking Terms & Conditions are non-refundable and non-transferable.
Other Fees and Charges
You will be charged for any damages to your room, the contents of the room, or the general property. These include
- There is a $50 fee for stains on linen, covers and cushions.
- If there is excessive mess in the room and/or hot tubs, there will be an additional $60 cleaning fee applied.
- A cancellation fee of $70 will be payable for cancellation of additional services such as: Massage, Platters and Yoga with less than 48 hours’ notice (no fee is payable if more than 48 hours’ notice is given).
All of Our Rooms Are Non-smoking
If there is any evidence of smoking in the room/on the balcony, you will be charged an additional $80 for a specialised clean to eliminate odours.
Late Check-ins
Late check-ins must be organised in advance (at least 48 hours before your arrival day). There will be a $60 fee for late check-ins not advised previously or after 9pm.
No Party Policy
This is a Retreat and we have a strict no party policy. We appreciate you keeping voices to a minimum at night and respecting our neighbours and fellow guests. Music is allowed with the use of personal headphones only – no amplified music of any kind. If this policy is not followed, you will be asked to leave the premises immediately without a refund.
As an adults-only retreat, we are unable to accommodate children below 18 years of age.
